Estates Manager

Contract: Full time- 37.5 Hours per week
Salary: £36,000
Location: Across all Hospice Sites

We are currently recruiting for an Estates Manager to join our established Facilities Team, to guide, manage, and support the Maintenance Team in relation to Hospice buildings, maintaining all building services that enable the Charity’s service to be provided from each location without interruption.

The successful applicant will be required to oversee the day-to-day management of the Facilities team, and any contracts that support the Facilities service across Havens Hospices.  They will have managed a cross-functional team in a customer focused environment and be able to always facilitate exceptional levels of customer service.  Excellent communication skills will come naturally, and they will be able to resolve issues and complaints efficiently and effectively.

Experience of challenging and/or emergency situations, with the ability to remain calm, taking necessary actions with a high standard of professionalism is key. Health and safety will be of great importance, and they will have experience of performing daily checks and keeping accurate records.

With a self-motivated and pro-active attitude, the ideal candidate will enjoy working independently but also enjoy having other supportive colleagues to build relationships with at regular team meetings.

At Havens Hospices we care for children, young people and adults with complex or incurable conditions. Our specialist Care Teams can support them and their family living throughout illness, death and bereavement, in the comfort of their own home and through our hospice services, Fair Havens, and Little Havens.

Although you may not be giving direct care to our families, this role will have a direct effect on our care services.

Key responsibilities:

  • Liaise with Directors or Departments to make sure the needs of their departments are met through the roles of the Facilities Team
  • To work closely with the Health, Safety and Environmental officer on all matters relating to, Health & Safety, Fire Safety and Security matters to achieve the highest levels of compliance
  • To manage all third-party contracts in place and to establish and maintain any new contracts as required
  • To maintain records to ensure all statutory inspections and service requirements are in place and are within date at every location
  • To follow the procurement policy as provided by Havens Hospices when undertaking all purchasing (incl. all goods and materials, contract work, and services)
  • To recruit, induct, train, appraise and support individual members of staff, conducting appraisals, performance reviews and monitor competencies as and when required
  • To assist the Head of Facilities and support their work by providing a point of continuity, and in their absence making relevant decisions within appropriate guidelines, and attending staff meetings in place of the Head of Facilities on an as required basis
  • To assist the Head of Facilities in maintaining, controlling and preparing the Facilities budget
  • To administer, manage and maintain systems and databases used across the site to improve the controls and procedures, ensuring their efficient operation and that relevant training is given to key staff
  • To ensure the Garden & Grounds have a planned maintenance schedule in place that details all the work required across all seasons
  • To undertake regular informal site security audits and annual security audits in line with IG requirements and oversee the production of reports for the Head of Facilities as requested on all aspects of facilities services
  • To ensure both sites are pro-active with pre-planned maintenance ensuring work is carried out to schedule and is cost effective
  • To have overall responsibility for the Facilities database as relates to the site and ensure that all requisitions are processed by maintenance and repair work on the Charities assets and properties and that work is recorded
  • To manage the maintenance function and the work scheduling systems across the charity for rolling maintenance programmes, improvement programmes and asset management
  • To exercise overall responsibility for the security of grounds, buildings and assets within them, to include fire policies and fire alarm systems, procedures for security and maintenance and protection of equipment and premises
  • To manage the Housekeeping Manager comprising any staff and volunteer members in their absence and liaise with the Care Team to ensure that the housekeeping role and responsibility is achieving the requirements laid down by the Care service
  • To oversee regular housekeeping audits and to achieve and maintain the high standard of infection control currently operating
  • To manage the Catering Manager and liaise with the Care Team to ensure that the Catering role and responsibility is achieving the requirements laid down by the Care service
  • To carry out regular Catering audits and to work with the Catering Manager to achieve and maintain the high standard of food hygiene as prescribed by the Food Standards Agency
